Refund Policy

At DawaHQ, we want every hospital to be fully satisfied with the platform. This Refund Policy explains when you may be eligible for a refund on your DawaHQ subscription.
1. Free Trial Period
All new hospital accounts receive a 30-day free trial — no credit card required. We encourage you to fully evaluate DawaHQ during this period. No charges are made during the free trial.
2. General Refund Policy
DawaHQ subscriptions are billed monthly in advance. As a general rule, subscription fees are non-refundable once a billing cycle has commenced.
However, we will issue a full refund in the following circumstances:
- Technical failure: If DawaHQ experiences a critical outage that prevents your hospital from using the platform for more than 48 continuous hours during a paid billing cycle, you are entitled to a prorated refund for the affected period.
- Duplicate charge: If you are charged twice for the same billing period due to a payment processing error, we will refund the duplicate charge in full.
- Billing error: If you are charged at the wrong price due to a DawaHQ error, we will correct the charge and issue any applicable refund.
3. Cancellation Refunds
If you cancel your subscription mid-cycle, your account remains active until the end of the current billing period. We do not provide prorated refunds for cancellations made during an active billing cycle.
Exception: If you cancel within 7 days of your first paid charge (i.e., immediately after your free trial converts), you may request a full refund of your first month's subscription fee. Requests must be submitted within 7 days of the charge.
4. Pharmacy Add-on Refunds
The Pharmacy Add-on follows the same refund policy as the base subscription — non-refundable mid-cycle, with the same 7-day first-charge exception.
5. How to Request a Refund
To request a refund:
- Email billing@dawahq.com with the subject "Refund Request — [Clinic Name]"
- Include your hospital name, the charge date, and the reason for your request
- We will review your request within 3 business days
- Approved refunds are processed via Paystack and may take 5–10 business days to appear
6. Chargebacks
If you initiate a chargeback with your bank or card issuer without first contacting us, your DawaHQ account may be suspended pending resolution. We encourage you to contact us first — we are committed to resolving billing issues fairly and promptly.
